This policy explains what personal data Veltrix IT Limited collects through this website and in the course of our services, why we use it, and the rights you have. We handle personal data in line with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.

1. Who is responsible

Veltrix IT Limited, Business Registration No. 81485489, Unit 1603, 16th Floor, The L. Plaza, 367–375 Queen’s Road Central, Sheung Wan, Hong Kong, is responsible for your personal data. You can reach us at [email protected].

2. What we collect

• Inquiry data. Your name, email address, company name, and the details of your request that you send us by email.
• Client data. Contact details of your staff, billing details, and correspondence needed to deliver and invoice our services.
• Technical data. IP address, browser type, and request details that are processed automatically when you load this website.

We do not knowingly collect sensitive personal data and ask you not to include it in your messages.

3. Cookies and tracking

This website does not set cookies, has no contact forms, and does not use analytics, advertising pixels, or other tracking tools.

To display our typeface, pages load fonts from Fontshare (operated by Indian Type Foundry) and Google Fonts. When your browser requests these fonts, those providers receive your IP address and browser information. They act under their own privacy policies.

4. Why we use your data

• to respond to your inquiry and prepare a proposal;
• to deliver, manage, and invoice the services you engage us for;
• to meet our legal, accounting, and tax obligations;
• to keep this website and our systems secure.

We use your data only for these purposes or directly related ones, and we do not use it for direct marketing without your consent. For visitors in the European Union or the United Kingdom, we rely on the following legal bases: steps taken at your request before entering into a contract, performance of a contract, compliance with legal obligations, and our legitimate interest in running a secure business.

5. Who receives your data

• Cloudflare, which hosts and delivers this website and processes technical data to do so;
• our email and productivity service providers;
• banks and payment service providers that process invoices and payments;
• professional advisers, such as accountants and auditors;
• public authorities, where disclosure is required by law.

We do not sell or rent personal data.

6. International transfers

Some of these providers process data outside Hong Kong, including in the United States and the European Union. We use providers that apply recognized safeguards to protect transferred data.

7. How long we keep it

• Inquiries that do not lead to an engagement: up to 24 months after our last contact.
• Client, contract, and billing records: 7 years after the engagement ends, in line with Hong Kong record-keeping requirements.
• Technical data: for the periods set by our hosting provider.

8. Security

We protect personal data with access controls and encrypted connections. No method of transmission over the internet is fully secure, but we work to protect your data against unauthorized access, loss, or misuse.

9. Your rights

You may ask to access the personal data we hold about you and to correct it if it is inaccurate. We respond to data access and correction requests within 40 days. If you are in the European Union or the United Kingdom, you may also ask us to erase or restrict your data, object to its processing, or receive it in a portable format, and you may complain to your local data protection authority.
